Receptionist/ Administrator Role

Job Description: – Church Receptionist/Administrator (Part Time)

Location: Hope Centre, Drayton Close, Weston
Starting Salary: £24,900-£26,942 (pro rata) Two years fixed term.
Hours: 16 hours per week (Part-time spread over 4 days, occasional evenings, and weekends)
Actual Salary: £10.624-£11,495

 

Introduction:

​

We are seeking an organised and supportive team player with strong administration skills and a passion for Christian mission to young people, children and families in lower income communities. Weston, Southampton, is among the 5% most economically deprived communities in the country. The local churches play a large role in supporting the community.

​

Aspects of this role mean that there is a genuine occupational requirement for the post holder to be a committed, practising Christian.

 

Due to the nature of the recently planted church, this will be an evolving and adapting role. The successful applicant should expect to play an active part in both developing and representing the character and ethos of Hope City. The post therefore requires a commitment to active membership of the church.

Planted in 2024, Hope City Church Southampton aims to make disciples and raise leaders from the young adult population in working class settings. The church runs a community centre throughout the week as well as church meetings on a Sunday. All church activities are envisioned to best serve local people from the estate.

 

The role of the administrator is to assist the Senior Leadership Team, Trustees and wider church body on their mission by:

​

• Serving as a first point of contact (during working hours) to the public activities on behalf of the Senior Leadership Team, both in person through being based at the Hope Centre and also via phone, email and other online means of communication.

​

• Actioning online and offline publicity and communications: internal, external, social media, website etc. Using support of church members when possible.

​

• Undertaking risk assessments for all activities associated with the ministry and mission of Hope City.

​

• Liaising with SLT and trustees to ensure compliance with (and if necessary, altering) of policies.

​

• When needed, scheduling and minuting regular meetings, and recording decisions (e.g. assigned tasks and next steps) in consultation with the SLT.

​

• Undertaking DBS checks and safeguarding administrative support regarding church activities in consultation with the safeguarding lead.

​

• Organising bookings for ticketed events in consultation with the Senior Leadership Team.

​

• Assisting with Hope Centre facility maintenance and security, renting centre facilities, developing and implementing policies for facility use.​​

​

• Where possible and appropriate ensuring Hope Centre is made ready for activities and events.

​

• Administering the ChurchSuite management platform to help plan and schedule events

​

• Assist in organising rotas, deploying volunteers, handling donations and bookings, and assisting logistically in integrating newcomers into the church.

​

• Assisting the SLT in the collation and tracking of expenses with oversight from the Hope City treasurer.

​

• Ordering resources, equipment, and software etc. Managing subscriptions of these where necessary.

​

• Any other appropriate duties that may arise subject to discussion with your line manager/SLT.

​

Experience:

Proven work experience as a church or charity administrator or similar role. -Desirable
Strong IT Skills- Essential

Familiarity with church and/or charity management software and customer relationship management software.- Desirable

A good understanding of Christian mission and a passion for church planting among young people in lower income communities.- Essential

Experience of managing budgets, bookkeeping, financial reporting and the use of accounting software.- Desirable

Familiarity with Graphic Design tools such as Canva.- Desirable

Ability to keep confidential and sensitive information and good understanding of safeguarding.- Essential

Good analytical skills and the ability monitor progress against measurement frameworks. Essential
